Minutes of Special Meeting

March 18, 2009

A special meeting of the Town Council of the Town of Cormack was held on Wednesday, March 18th 2009 in the Community Centre, Cormack.

Present: Mayor Hewitt

Deputy Mayor Alexander

Councillor Rideout

Councillor Chaffey

Also Present: Town Clerk/Manager, Cynthia Fry

The meeting was called to order by the Mayor at approximately 7:30 pm.

The purpose of the meeting was to review some outstanding issues from the previous Regular Meeting.

1. Assistant to the Town Clerk - Review of Work Probation Period

The required employment probation period has expired. A second review is scheduled for September 18th.

Resolution SM Mar1809-01 Alexander/Rideout 4 for, 0 opposed, carried.

The wages for Clerk Assistant position is $12.50/hr effective next payroll period.

2. Payment of Hours Accumulated

Resolution SM Mar1809-02 Rideout/Alexander 4 for, 0 opposed, carried

Employee can be paid for eighty hours in order to reduce the number of hours accumulated for time off..

3 Donation request from Child Find.

Resolution SM Mar1809-03 Chaffey/Alexander 4 for, 0 opposed, carried.

Donation of $25.00 resolved to the Child Find campaign.

4. Adjustment to Account

Resolution SM Mar1809-04 Alexander/Chaffey 4 for, 0 opposed, carried

Account BENNT001 can be adjusted in the amount of the interest balance to December 31/08 bringing the account to a current status.

5. Funding Amendment to ARDAHC Project

Councillors were given a copy of a report on expenses to date and projected to complete the ARDAHC project. ACOA is preparing an amendment and the Department of Industry, Trade and Rural Development has indicated a commitment to additional funding.

Resolution SM Mar1809-05 Alexander/Rideout 4 for, 0 opposed, carried

Resolved that the Town of Cormack increase its cash funding commitment to the

ARDAHC project from $125,000 ($60,000 + $65,000) to $135,000. Notation made that the Town’s additional funding will cover already expensed items.

6. Volunteer Appreciation Dinner and Dance

The Annual Volunteer Appreciation Dinner and Dance will be sponsored by the Town on May 2nd.

7. Fire Department Expenses for 2008

The Fire Department will be given written notice that in the future expenses should be submitted on a monthly basis along with a copy of the department’s financial report for the same period. This should simplify the process of reimbursing the department for operating expenses.
